Privacy Policy

Effective date: October 13, 2026

Your information helps us get your website ready and keep your project moving. This policy explains how Gracefully Managed LLC handles information on our public site and in Launch Studio.

1. Information we collect

When you sign up for the Website Prep Checklist or Launch Days waitlist, we collect your first name, email address, the form you used and when you agreed to receive emails. If you send a question, we collect your name, email, question and any business name, website or platform preference you choose to share.

When you book, we collect your name, business name, email, phone number, business address, website if provided, fit-check answers, package, add-ons, payment choice and any coupon or referral code. Agreement records include the wording you agreed to, your typed signature, initials, consent and signing dates, plus IP address and browser details for the signing record. Stripe processes your payment details. We keep payment references and status, not your full card number or card security code.

Your portal account includes your email, sign-in information and account profile. We also save project tasks, progress, booking dates, meeting links, review notes, feedback, testimonial permissions, help requests and messages you send through the portal.

Prep tools save what you type or upload, including business information, brand answers, colors and fonts, style choices, website words, photos, logos, brand guides, product information and shop setup details. Domain and Access answers may include your domain provider, account email, access instructions and details you choose to share. Please do not put passwords, payment card details or other sensitive information into messages or writing tools.

We collect basic technical and usage information needed to operate and protect the service, such as IP and browser information, request and error records, activity timestamps and use of AI helpers. Public-page advertising data is described below.

2. How we use your information

We use your information to deliver the checklist, manage the waitlist, answer questions, prepare and build your website, process payments and agreements, run your portal, save your work, schedule calls and build days, and handle messages, review-week fixes and later help requests.

We send service emails for things like invitations, account access, agreements, payments, scheduling, reminders and project updates. If you sign up for marketing emails, we also send relevant news and offers. You can unsubscribe from marketing using the link in those emails or by contacting us. Essential messages about an active service or account may still be sent.

When you use an AI writing or transcription helper, relevant text, business answers or an audio recording is sent to our AI service to produce a response. Brand-file analysis can send your uploaded logo or brand guide. These helpers support your project, not advertising. Avoid including information you do not want processed by an AI service.

3. Advertising and the Meta Pixel

We use the Meta Pixel on public pages to measure page visits, successful checklist and waitlist signups, checkout starts and purchases. This helps us understand our advertising and show relevant ads on Facebook and Instagram. The Privacy Policy page is also a public page.

The pixel is not used inside the client portal, admin workspace, brand studio or sign-in pages. We do not send names, email addresses, phone numbers, messages or prep-tool answers to the pixel. Public events may include the page address, event type, package name, purchase value and currency. Meta may also receive technical information such as your IP address, browser information and cookie identifiers, and may connect activity with your Meta account under its own policies.

Our pixel stays off when we cannot determine a visitor's country and in the European countries where this site's country check requires consent. We do not currently offer a cookie-consent banner. Browser or network restrictions may also prevent the pixel from loading.

Manage your preferences in Meta's ad preference settings. You can also read Meta's Privacy Policy.

4. Who helps us provide the service

We share information as needed with service providers: Stripe for payments, Lovable Cloud for hosting, account access, the database and file storage, GoHighLevel for our CRM, contact lists, marketing follow-up and scheduling, Lovable's managed email service for account and project emails, and Meta for the public-page advertising described above.

AI helpers use Lovable AI with OpenAI models for writing, transcription and brand-file analysis. Website content and setup information may also be placed in your selected website platform, Squarespace, Shopify or GoHighLevel, as part of building and handing over your site. Fonts are loaded from Google Fonts, which can receive connection information such as your IP address and browser details.

Sara and authorized team members can access the project information they need to provide your service. We may also disclose information when reasonably needed to meet legal obligations, protect people or prevent fraud. Providers may process information in the United States or other countries under their own privacy and security practices.

We do not sell personal information for money. Meta's use of public-page activity for targeted advertising may count as sharing personal information under some privacy laws. That advertising use is separate from the private information you put in your client portal.

5. Cookies and similar technology

The site and its providers use cookies or similar technology for account access, secure payments and public-page advertising. We also use browser storage to remember drafts, coupon and referral codes, notification preferences and interface choices. Purchase-tracking markers help avoid counting the same purchase again after a refresh.

You can block or clear cookies and browser storage in your browser, or use tracking-blocking tools. Some account, payment or saved-preference features may not work properly if you do. Agreeing to receive our emails is not the same as consenting to advertising cookies.

6. Retention and security

Uploaded photo files and thumbnails in Photo Prep are scheduled for deletion 30 days after your project is marked Complete, unless Sara extends that period. This cleanup also covers uploads held in the same photo storage, such as logos, brand guides and product images. Cleanup runs periodically, so removal may happen after the scheduled date. File names, photo records and summary PDFs can remain after the original files are removed. Please keep your own copies.

Signed checkout records that remain unpaid are scheduled for deletion after 30 days. Other account, project, message, opt-in, completed agreement and payment records do not have a single automatic deletion deadline. We keep them as needed to provide services, maintain business and accounting records, resolve disputes and meet legal obligations. Completed agreements are lasting records and are not rewritten when our terms change. Contact us about deletion, and we will explain any records we need to retain.

We use access controls, sign-in requirements and limited-access file links to help protect private project information. No website, transmission or storage system can be guaranteed completely secure. Protect your account access, share only what is needed and contact us if you suspect unauthorized use.

7. Your choices and privacy rights

You can ask to access, correct or delete your personal information by emailing hi@gracefullymanaged.com. You can also update available account details in the portal. We may need to verify your identity before responding. Some requests may be limited by legal obligations, payment records or the need to complete an active service.

You can unsubscribe from marketing emails at any time. You can also adjust your Meta ad preferences and use browser settings or tracking blockers to limit advertising cookies. Blocking tracking does not prevent you from asking us a privacy question.

California residents may have rights, where applicable, to know and access the personal information collected about them, request correction or deletion, and opt out of sale or sharing for cross-context behavioral advertising. We do not sell information for money, but the Meta advertising described above may be considered sharing. Contact us to make a request or ask how to opt out. We will not discriminate against you for exercising applicable privacy rights. We do not claim that this site automatically recognizes every browser privacy signal.

8. Children

Launch Days and Launch Studio are for business clients and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided information, please contact us so we can review and remove it as appropriate.

9. Changes and contact

We may update this policy as our services or practices change. We will post the updated version here with a new effective date and provide any additional notice required by law.
